Territory Toolbox gets its data from public sources. We strive to get accurate “address point” data straight from the cities or counties we’re mapping, preferring NG911 databases when available. We try to stay away from open source maps that rely on user input, as well as tax records that, while more accurate, struggle with identifying multifamilies/unit numbers.

If you notice discrepancies, it is usually due to one of these three factors:

• Outdated KML Borders: If your territory boundaries haven't been updated to reflect the latest neighborhood changes, the tool will still scan the area precisely as defined by your uploaded file.
• Mistaken Excluded Address: To paint a more accurate picture of the workable addresses in your territory, not every single individual address is put into the “Address List” tab. For example, when specific data is available, an address classified as a park will not be added to the “Address List.” If there are missing addresses, check the “Excluded Audit” tab.
• Data Refresh Timing: Our records are updated periodically based on county releases. Very recent new construction may take a short time to appear in the official database. Take a look at our release notes for specific data information.

No. All tools are designed with a "session-only" architecture. When you upload your KML file, it is processed in your current browser session to generate your analysis. As soon as you close your browser tab or refresh the page, all uploaded files and generated data are cleared from our temporary processing environment.

While we cannot provide real-time updates, we regularly refresh our datasets to ensure that the counts and address lists you generate reflect the most current residential layout available from county records. A KML (Keyhole Markup Language) file is essentially a "digital map outline." It stores geographic data, such as your specific territory boundaries, in a format that map applications like Google Earth or Google My Maps can read. Our tool uses these KML files to know exactly where your territory borders are, so it can look up the correct address data for that precise area.

If your territories are saved online in any way, such as with TerritoryHelper or another program, there is likely an “export to KML” feature. It’s worth the time to check thoroughly for this.

A CSV (Comma-Separated Values) file is a simple, universal spreadsheet format. Think of it as a bare-bones version of an Excel file that holds data in rows and columns separated by commas. It is the industry standard for moving data between different applications—like exporting your analyzed territory from our tool and importing it directly into your management software.

You don't need it. While our tool outputs files in the standard .xlsx (Excel) format, these files can be opened and edited for free using Google Sheets, LibreOffice, or Apple Numbers. Any software that can open a standard spreadsheet will allow you to view, filter, and work with your territory analysis data perfectly.

• In Google My Maps: Open your map, click the three-dot menu icon (next to the map name), and select "Export to KML/KMZ." Make sure to select the option to export as KML (not KMZ) for the best compatibility.
• In Google Earth: Right-click the folder or layer you want to export in the sidebar, select "Save Place As," and choose "KML (*.kml)" from the file type dropdown menu.

For the best results, please use a .kml file. A KMZ file is a compressed "zipped" folder containing the KML file and other potential data (like custom icons or photos). Because our engine is designed to parse the raw boundary coordinates directly, the uncompressed .kml format is much more reliable. If you have a .kmz, you can usually convert it by simply renaming the file extension from .kmz to .zip, unzipping it, and pulling out the doc.kml file inside.

Your analysis file is structured to give you a complete view of your territory:

• Dashboard: Provides a high-level overview of the analysis, including quick facts, summary statistics, and technical run settings.
• Counts Tab: Organizes your territories by size, displaying address density, current status, such as Oversized or Ideal, and suggested actions.
• Address List Tab: Contains the master list of all workable addresses found within your boundaries, ready for final sorting or filtering.
• Apartments Tab: Surfaces larger multifamily groupings, consisting of five or more units, for easier organization and highlights their impact on your territory counts.
• Territory Balancing: Offers actionable recommendations and projections on how shifting specific high-density buildings can help balance oversized territories.
• Excluded Audit Tab: Lists addresses flagged for exclusion, such as vacant lots, parks, or addresses that fall outside your drawn boundaries.
• Overlap Audit: Identifies specific addresses that are caught in overlapping territory boundaries so you can cleanly resolve mapping conflicts.
• County Duplicate Audit: Highlights potential duplicate addresses found when analyzing maps that cross multiple county datasets.

Each unit in a multifamily has its own address line. This is so each unit is counted as its own address/door. Oftentimes, these are the hard-to-find addresses that would not show up on tax records. If the multifamily has at least 5 units, it'll be placed on the apartment tab.

The analysis is generated as a standard Microsoft Excel (.xlsx) workbook. If you don't have Excel installed, you can open it easily by uploading the file to Google Sheets, or by using free office software like LibreOffice or Apple Numbers. If you still cannot open the file, verify that the download completed fully and that the file extension is indeed .xlsx

Our engine requires a digital boundary file (KML) to perform its spatial calculations. If your territories are currently on paper, you will need to digitize them first. You can easily do this by using Google My Maps to draw your boundaries over a map of your area. Once drawn, export the project as a KML file, and our tool will be ready to process it.

Most errors occur due to formatting in the uploaded KML. Ensure that your KML file contains clear, enclosed polygons representing your territory borders. Avoid complex lines or shapes that are "broken" or have self-intersecting loops.

To save energy and keep hosting costs down, our engine automatically enters a "sleep mode" when it isn't being actively used.

How to fix: Simply click the "Wake Me Up" button on the page. You’ll see a message that says "Your app is in the oven." This just means the engine is powering up on our data server. It typically takes less than 60 seconds to fully warm up and be ready for your upload!

To ensure our tool can correctly link your new address data to your existing map, you need to export your current territory list from the NW Scheduler (NWS) software.

1. Log into your New World Scheduler app.
2. Navigate to the Territories section.
3. Look for an Export or Download button and select the CSV format. This file serves as the "key" that allows our engine to match your analysis results with your existing records.

You likely don’t need to open it manually! The CSV file generated by our tool is formatted specifically for the NWS system to "ingest" (upload) automatically. If you do need to view it, you can open it using Google Sheets, LibreOffice, or Excel. If the data looks like a jumble of text, it is simply the CSV format (Comma-Separated Values).

Think of this file as a "translation". It takes the geographic insights from your Territory Analysis and rearranges them into the specific structure that the NWS software requires. The file tells the software exactly where to place each address, house, or apartment within your existing territory map.

Once you have downloaded the ready-to-import CSV from our engine:

1. Open your NW Scheduler application.
2. Navigate to the Addresses or Territories import utility.
3. Select the file you downloaded from us.
4. After confirming the import, your new addresses will appear.
